Adding and managing crews
Crews allow you to group users that typically work together on the same work requests.
Adding a crew
- Click on the Admin menu icon, then select Crews.
- Click the New button.
- Enter a Name for the Crew and a Description, if necessary.
- Click the User Icon () to select Crew members from the Select User window. *Note: A user can be assigned to multiple Crews if needed.
- Select a Crew Lead from the drop down. The Crew Lead is the Crew Member that is the designated contact person for the Crew.
- To assign Equipment to a Crew click the Select Crew Equipment () icon. *Note: Only Assets that have the Allow Sign-Out setting checked are considered Equipment and can be assigned to a Crew.I
- Check the boxes next to the Equipment you are assigning to the Crew.
- Click the Select button.
- Click the Save button.
Assigning work orders to members in a crew
You can quickly assign a work order to members of a Crew by utilizing the filtering features in Asset Essentials.
- In the Assignee section of a work order, click the Add User button.
- Enter the name of the Crew in the filtering box under the Crew column then hit Enter on your keyboard. This will filter the user list to show only members of that Crew.
- Check the Select All box to select all users of the Crew, then click the Select button.
- The work order will now be assigned to each member of the Crew.
Adding labor transactions using crews
You can quickly enter labor transactions for all Crew members by utilizing the filtering features in Asset Essentials.
- In the Labor section of a Work Order, click the Add Employee Labor button.
- Click the Select User(s) icon ().
- Enter the name of the Crew in the filtering box under the Crew column then hit Enter on your keyboard. This will filter the user list to show only members of that Crew.
- Check the Select All box to select all users of the Crew, then click the Select button.
- Adjust the Hours and any other information in the Add Labor window. Click Save when finished.
- A labor transaction will be created for each member of the Crew. Each transaction can be edited individually to account for situations such as a Crew member leaving a job early or working overtime.
